VAIZY VS NOTION

Notion can hold your project plan. It cannot warn you when the budget is slipping.

Notion can hold your project plan. It cannot warn you when the budget is slipping.

Notion is a great place for docs, notes, and wikis, and many teams build a project tracker in it too. But a tracker you build is a tracker you maintain. The formulas, rollups, and status pages only stay right as long as someone keeps them right. Vaizy is plug and play: the portfolio view works from day one, with nothing to build.

The short version

Setup

Notion

You start with a blank page. Every database, property, relation, formula, and view has to be designed and built before the tracker tells you anything.

Vaizy

Plug and play. Projects, milestones, budgets, team, and risks are already there and already connected. Import your spreadsheet and start working the same day.

Cross-project view

Notion

Possible with linked databases and rollups, if someone builds it and keeps the structure intact.

Vaizy

Select multiple projects and see combined cash flow, shared team load, and risk in one view.

Budget health

Notion

Only through formulas you write yourself. When a property is renamed, the numbers can quietly break.

Vaizy

Cost and schedule performance (CPI and SPI) calculate automatically from your milestones and financials.

Risk register

Notion

Often a table on a page that was accurate on the day it was written.

Vaizy

One live risk register across every project, with owners, impact, and status that stay current.

AI on your data

Notion

Notion AI works across your pages and docs. It only knows as much about budgets as your pages say, and pages go out of date.

Vaizy

On the Pro plan, ask questions about your own projects and get answers grounded in your live workspace. Names are masked before anything reaches the AI model.

Data residency

Notion

American company (Notion Labs). EU data residency is available on the Enterprise plan.

Vaizy

Incorporated and hosted in the European Union, under GDPR and Dutch law.

What a homemade tracker costs you

Nobody plans to run a portfolio from a wiki. It starts as one database for one project, then grows. At some point the tracker becomes a project of its own, and the people relying on it cannot tell whether the numbers are current.

With Notion

Status is whatever the page owner last typed, so a project can look green right up to the meeting where it turns red.

With Vaizy

Status and budget health come from the milestones and spending you track, not from a field someone forgot to update.

With Notion

Cost per project is a formula across linked databases, and one renamed property breaks it without anyone noticing.

With Vaizy

There are no formulas to maintain. Cash flow and costs add up across projects on their own.

With Notion

Seeing who is booked on which project means checking several databases and adding it up yourself.

With Vaizy

Team load is stacked across projects, including contractors split over several clients.

With Notion

Giving a client or junior colleague access risks showing them pages they should not see.

With Vaizy

Member accounts get a scoped view of their own work, without access to financials or other people's data.

How pricing compares

Notion

A free plan, then per-member pricing on paid tiers, with the fullest AI features on the higher plans. The tool is cheap, the ongoing cost is the time spent building and repairing the tracker.

Vaizy

Vaizy uses transparent, self-serve, per-seat pricing for Manager accounts, published on the pricing page with Essential and Pro tiers billed monthly or annually, plus an Enterprise tier available on request. Team members who need a scoped view get a Member seat. Essential includes 5 and Pro includes 10 during the beta, and extra seats are billed per seat. Nothing requires a sales call to see the price.

Common questions

Does Vaizy replace Notion?

Not for docs and wikis. Keep writing in Notion. Vaizy replaces the project tracker you built inside it: budgets, milestones, team load, and risks across every project. Deliverables in Vaizy can link to the Notion page that goes with them, shown with a Notion badge.

Can I move my Notion project databases into Vaizy?

Yes. Export a database to CSV and import projects, milestones, deliverables, team, risks, and budgets, with column matching and validation before anything is published.

Our Notion setup works fine. Why switch?

If the numbers are always current and nobody spends time fixing formulas, it may be working for you. Vaizy is for the point where you no longer trust the tracker without checking it first.

Why does EU hosting matter?

Vaizy is incorporated and hosted in the European Union, under Dutch law and GDPR. For teams handling client financial data under GDPR, that is often a requirement, not a preference.
